Our collaborator is a pioneering item lending marketplace in Sweden, providing a platform for individuals to lend and borrow items easily and securely.
Tareas
As an Admin Assistant, you will play a vital role in ensuring the smooth operation of the office, supporting both the administrative and operational aspects of the business. Your role will involve managing daily administrative tasks, assisting in coordination between departments, and ensuring that the office runs efficiently.
Office Management:
- Organize and maintain office files, documents, and records.
- Manage office supplies and inventory, ensuring that all necessary materials are stocked.
- Coordinate and schedule meetings, appointments, and events.
- Handle general office correspondence, including emails, phone calls, and mail.
Data Entry and Record Keeping:
- Input and update data in company databases, ensuring accuracy and confidentiality.
- Maintain records of transactions, agreements, and contracts related to the lending marketplace.
Customer Support:
- Assist in responding to customer inquiries via email, phone, or chat.
- Help resolve customer issues related to the lending and borrowing process on the platform.
Coordination and Communication:
- Act as a liaison between different departments, ensuring smooth communication and collaboration.
- Support the HR department in organizing training sessions and onboarding new staff.
Financial Assistance:
- Assist in basic bookkeeping tasks, such as processing invoices and expense reports.
- Help in managing the budget for office supplies and operational costs.
Project Support:
- Provide administrative support for special projects and initiatives as required.
- Help track the progress of various projects, ensuring deadlines are met.
Requisitos
- A minimum of a high school diploma is required. A degree or diploma in business administration or a related field is preferred. Application from Varsity students are also welcomed.
- Prior experience in an administrative role is highly desirable.
- Experience in customer service, data entry, or office management will be an advantage.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office management software.
- Strong organizational and multitasking abilities.
- Excellent communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Attention to detail and a high level of accuracy in work.
- Proficiency in Swedish and English is required. Additional language skills are a plus.
- A proactive and positive attitude.
- Ability to handle sensitive and confidential information with discretion.
- Strong problem-solving skills and the ability to think on your feet.
Condiciones
- Monthly stipend of 400 euros.
- Work primarily from the office, with potential for occasional remote work.
Availability:
- Start date: as soon as possible for a minimum of 2 month internship.
- Working hours: This is a full-time position with standard working hours, typically Monday to Friday, 9 AM to 5 PM. Flexibility may be required during peak periods.
